Your First Business Automation: Choosing One Task Worth Improving

Choose a small automation by reviewing the repeated task, tools, exceptions, owner and cost before connecting systems.

EXECUTIVE SUMMARY // AEO SYNTHESIS COVENANT

Start with one repeated task whose inputs, action and exceptions you can describe. Keep a person responsible for reviewing failures and verify the result before expanding.

Choose a task before choosing a tool

Your first automation should solve a repeated, recognisable problem. Copying enquiry details between tools, notifying a colleague or reminding someone about a next step can be reasonable starting points.

Pick the task worth improving first. A task is worth improving when you can describe the trigger, the action and the exceptions in a sentence, and when you can watch the same request arrive over and over.

Do not start with a promise to automate the whole business. First define what happens now, who does it and where errors or delays occur.

Describe the current process

Write down the trigger, required information, action and destination. Note how often the task occurs and how long it takes using your own observations.

If the steps are unclear or change every time, you may need to simplify the process before connecting tools. Automation can repeat a confusing process as easily as a useful one.

Try a limited workflow

An illustrative service-business flow could be:

  1. A customer sends an enquiry.
  2. The agreed details enter a contact list.
  3. The responsible person receives a notification.
  4. That person checks the context and decides how to reply.

This is a demonstration of scope, not a claim about an actual customer result. The process should include a way to detect messages that did not arrive or records that need attention.

Identify exceptions and human decisions

What happens when an email address is missing, a duplicate enquiry arrives or a tool is unavailable? Decide who checks the exception and how they are notified.

If AI is involved, explain its narrow role and where a person reviews the output. Avoid giving it unsupervised authority over decisions you cannot reliably validate.

Check access and recurring costs

Confirm which tools are involved, who owns the accounts and what permissions the connection needs. Agree how customer information should be handled for your business; do not copy sensitive data into extra services without a reason.

Subscriptions, usage charges and maintenance may be separate from setup. Ask what happens if a connected service changes or becomes unavailable.

Estimate usefulness with your own numbers

Measure the time spent on the current task before forecasting a saving. Compare that with the time still needed for review, exceptions and maintenance.

For an illustrative calculation, a task taking ten minutes and occurring twelve times a month uses about two hours. That is a starting assumption to verify, not a universal automation return or a promise of savings.

Test before expanding

Use agreed example inputs, including incomplete and duplicate records. Confirm the output reaches the right destination and that the exception path works. Give someone instructions for checking and pausing the workflow.

Our automation service starts at USD 900–1,600 for one defined workflow. This is an indicative Aura Logic range; subscriptions, extra connections and applicable taxes are separate. More complex processes need a different scope.

If the need is a new internal application rather than a connection between existing tools, review website versus custom product scope. Otherwise, describe one repeated task to Jorge.

STRUCTURED PROTOCOL // FAQS

Frequently Addressed Technical Inquiries

Do I need AI for a business automation? [+]

No. Many useful workflows rely on agreed rules and connections. AI should have a specific purpose when it is included.

Can the workflow run without anyone checking it? [+]

Agree who monitors errors and handles exceptions. A responsible person should remain available even when routine steps are automated.

Are tool subscriptions included in the setup range? [+]

No. The indicative range covers the agreed project; third-party subscriptions and usage costs are separate.

  1. [1] AI Risk Management Framework: Generative AI Profile (NIST AI 600-1) Supports the requirement that if AI is involved a person reviews the output, and the advice to avoid giving it unsupervised authority over decisions you cannot reliably validate: the NIST Generative AI Profile defines a 'Human-AI Configuration' risk category covering insufficient oversight and refers to human review of AI-generated outputs.
  2. [2] A guide to the data protection principles | ICO Supports the rule not to copy sensitive data into extra services without a reason: the principles require personal data to be adequate, relevant and limited to what is necessary for the purposes for which it is processed, and collected for specified, explicit and legitimate purposes.
  3. [3] RFC 6749: The OAuth 2.0 Authorization Framework Supports the instruction to confirm which tools are involved, who owns the accounts and what permissions the connection needs: OAuth 2.0 enables a third-party application to obtain limited access to an HTTP service through an access token with a specific scope and lifetime.
  4. [4] Business automation that saves manual work | Aura Logic Verifies the statement that the automation service starts at USD 900–1,600 for one defined workflow, which matches the published automation service page price of '$900–$1,600 USD'.
